Rates and Terms
I think it is important for both sides to have a serious working relationship with good communication to achieve their needs in a way that both sides will be satisfied with the work. I try to see the job from the perspective of my client, and give particular detail to the specific needs of each project. Obviously, this is best achieved by constant communication when the project starts.

Working Terms
A signed acceptance of the estimate, payment terms and details of the scope of work is required before commencement of the project.
Turnaround will be discussed and agreed prior to commencement of project. Urgent deadlines for clients can also be discussed.
All documentation will be scanned using Norton Anti-Virus 2003 or NOD32 which is continually updated, however no guarantee can be given and it will remain the clients responsibility to ensure they have their own Virus protection.
Final proofreading remains the responsibility of the client, however any mistakes will be rectified free of charge if returned within 48 hours.
All work is thoroughly checked before being returned to you via your preferred medium i.e. printed hard copy, fax, e-mail or burnt to CD.
Our service is fast and efficient and you can, of course, be assured of complete confidentiality.
RATES & FINANCIAL Terms
Virtual Assistance: $8.00 per hour billed in 15 minutes increments with time rounded up to the nearest quarter of an hour, minimum charge 1 hour.
The following discounts are available for pre-booked hours each month:
- 5 hours per week 5% discount
- 10 hours per week 7.5% discount
- 20 hours per week 10% discount
Discounted rates are payable in advance. Any work undertaken over the pre-booked hours will be charged at the discounted rate. Any hours not used each month may be transferred to the following month. These hours may not be rolled over a second month.
Rates apply to all work carried out at GVAs premises. They are exclusive of expenses and materials which are charged separately at cost price.
Emailing and internet research incur no telephone charges.
Get A Plan
Not sure about hiring a virtual assistant? Unsure of how long you will need a virtual assistant? The Flex Plan might be the best plan for you. This plan is designed for those who would like to get assistance occasionally, but dont know what their usage pattern will look like. Its also a good plan if you dont have much work to give. In other words the Flex Plan is our regular hourly rate. The Flex plan requires you pay three hours $24 in advance before services are rendered.
Our Monthly Plans are for busy individuals and businesses. You get to choose from a variety of monthly plans that fit your budget and your schedule. Here, you pay a flat fee every month, and have the virtual assistant for the allotted number of hours in your monthly plan.
Our Project Based Plan is for those who want assistance on a specific one time project. We will gladly assist you with a project from start to finish. This plan offers you dedicated support until the completion of the project. Simply contact us with the details about the project, including the time frame, hours needed, budget and the necessary skills involved. We will get back to you with an estimate as soon as possible.

CHARGING
Stationery, telephone, fax, postage, CDs/floppy disks, printing costs and all other expenses will be charged separately at cost price.
Any time taken carrying out work experimentally at the client's request shall be charged at the appropriate hourly rate.
Estimates are provided on request. GVAs hourly fee structure ensures that clients only pay for the time it has taken to complete a task (plus any expenses). Therefore, estimates as opposed to quotations are provided. If the client's original requirements change, we reserve the right to amend the original estimate.
For amounts estimated to be over USD75/EUR50, GVA reserves the right to request payment of up to 50% before work commences.
For amounts estimated to be over USD150/EUR100, GVA reserves the right to request the full estimated payment before work commences.
For new clients, GVA reserves the right to request the full estimated amount is paid in advance of work commencing.
Invoices
Invoices are due for payment within 7 days from the date issued.
Minimum invoice amount is for one hour at the appropriate hourly rate.
Should work be suspended or delayed through any default of the customer, GVA shall be entitled to immediate payment for the work carried out and expenses incurred.
For prepaid packages, payment for each month is made in advance. Invoices are issued at the end of the month for the following month and payment is due immediately by standing order.
Any unused hours of a monthly retainer package will be credited to the following month for a maximum of one month.
Clients wishing to cancel a retainer package must give minimum notice of one month.
Confidentiality
Each client's professional & personal matters are completely confidential. We are happy to sign client confidentiality agreements if you should require them.
Under no circumstances will GVA divulge any information about its clients or their business unless asked to do so specifically by them, on their behalf, in the context of our working relationship. If a VA/client relationship should end for any reason, GVA will return all records, notes, documentation & other items used during the time worked together. No assignment will be accepted by GVA knowing that we will not be able to achieve your deadline.
POLICIES AND PROCEDURES
Services that charge an hourly rate require a minimum of one hour of service. Services that charge by page count require a minimum of 10 typed pages.
The fees listed assume the following:
Straight Copy Typing (Handwritten Documents):
- The source document must contain clear, legible writing
- Prices are charged based on the number of typed pages, not the number of pages in the source document
Rush Services are dependent upon size of project. Larger projects will require a longer period of time to complete and may not be eligible for the rush services.
*If you have over 100 pages of typing, this price may be negotiable. Please, contact us for an estimate.
PAYMENT

Payment is by PayPal, Moneybookers, bank transfer or Cheque. In the event that a cheque is returned unpaid by the bank, the client will be responsible for all bank charges.
- A 2% surcharge will be assessed to all Paypal payments.
- A $25 fee will be charged for bounced checks (at which time cash or money order is required).
- A monthly late fee will be assessed to any overdue invoices. These fees are listed below:
- 3% Late Fee 15 Days Overdue
- 10% Late Fee 30 Days Overdue
- 15% Late Fee 60 Days Overdue
- 20% Late Fee 90 Days Overdue
